Personal Information Privacy Policy

ADS is registered with the Information Commissioners Office as a data controller for the processing of personal information.  So that we can provide you with services relating to your Security, Fire, Access control or CCTV system we need to collect and hold both your own and your Key holders/Representatives/Employees/Members personal information (Data). 

To better explain how ADS process the information (data) collected we have divided it into four different types as follows:-

 

WHAT WE COLLECT and WHY?

In relation to you (Account Data) 

Your name and residential address,  home, mobile telephone numbers and email addresses.

We may occasionally collect your banking information for credit checking and fraud prevention purposes.

We will require and hold on record a password for us to positively identify you when required.

In relation to key holders/representatives/membership (Site User Data)

The address and contact telephone numbers relating to the site/premises protected by the system/s.

The names and addresses of the nominated key holders/representatives their contact telephone numbers, email addresses and passwords for their positive identification when required.

In relation to the zones and areas covered by  the detection or surveillance devices (Site Area Data)

In relation to the protected site/premises (Site Installation Data)

The address and contact telephone numbers relating to the site/premises and Key holders/representatives/employees/members, protected by the system or systems installed.

Plans, drawings, specifications, photographic and CCTV images may also be collected and held on record by ADS, in order to carry out the correct administration and documentation of the system/s installed .  

Details of Access codes or cards/tokens/fobs  provided by or to you and your keyholders/representatives/employees/members for the systems installed may also be recorded if required for the correct administration of the service to you.

 

HOW WE STORE YOUR DATA?

With the exception of email services, we do not currently use any cloud computing storage for our data.

All data is securely stored in either paper and/or electronic form on our own privately owned computer networked servers.  All types of personal data are stored within the United Kingdom. 

The system installed on your site/premises may also store copies of your personal access codes/fobs/cards/tokens and other user data within its own on-site memory.

 

WHO AT ADS HAS ACCESS TO THE DIFFERENT TYPES OF DATA?

Account data can only be processed by ADS staff. Financial data may be viewed by MJ Accounts for accountancy purposes. All Site data types can only be processed by ADS staff.

 

WHO WE MAY SHARE YOUR DATA WITH?

Selected portions of account, site and Installation data may also be shared with the organisations below dependant on the type of system and the services being provided. We will be happy to detail who we share your specific data with by request. The following examples cover the majority of situations-

 

Monitored Security, Fire and CCTV systems.

Abel Monitoring, Leicester, who monitor all our security systems for us are passed site user and area data.

The Police force covering the location of the protected site are passed site user data for registration and crime prevention.

The SSAIB who inspect our procedures and practices and issue conformity certificates are passed specific site installation data.  Your Insurance company if requested by you or them may be passed site Installation data in relation to the specification of the system or an incident on the protected site. Unmonitored Systems of all types

The Police force covering the location of the protected site may be passed site user data for registration and crime prevention.

The SSAIB who inspect our procedures and practices and issue conformity certificates are passed specific site installation data.  Your Insurance company if requested by you or them may be passed site installation data in relation to the specification of the system or an incident on the protected site.

 

HOW LONG DO WE KEEP YOUR PERSONAL DATA FOR?

We only keep your personal data for as long as is necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data.
